My name is Claire Austin, and I am a wedding celebrant based in South Devon. I have compiled a list of handy questions to ask during your appointments when searching for your dream wedding venue.
Choosing your wedding venue is one of the most important steps in your wedding planning journey. It sets the tone for the day, determines your budget, influences your décor, and even affects your guest list. Whether you're dreaming of a rustic barn, a luxurious ballroom, or a grand manor house, it’s crucial to ask the right questions during venue visits to ensure there are no surprises down the road.
To help you feel confident and prepared, here’s a comprehensive list of questions every couple should ask when touring potential wedding venues.
All the photos featured are of wedding venues at which I am a recommended wedding celebrant.
Availability and Booking Basics
Before falling in love with a venue, you’ll want to make sure it’s available for your desired date.
Questions to ask:
Is our preferred date available?
How many weddings do you host per day or weekend?
Do you offer weekday weddings as well as weekend?
How far in advance can we book?
Is there a waitlist for popular dates?
How many hours are included in the rental?
Do you offer different packages, i.e a one day or a three day rental
Are there any time restrictions for when we can be at the venue on the day of the wedding?
What’s the latest we can stay?
Why it matters: Some venues host multiple weddings on the same day, which could limit your time or result in a less private experience.
Pricing and Packages
Venues often vary widely in pricing structures. Some are all-inclusive while others are strictly space-only rentals.
Questions to ask:
What is the total cost to rent the venue?
What’s included in the price (tables, chairs, linens, etc.)?
Are there different pricing tiers based on day of the week or season?
How much is the deposit to secure our date, and what are the terms?
What’s the payment schedule?
Are there any hidden fees (cleaning fees, overtime, security, staff, etc.)?
What is the cancellation or rescheduling policy?
Why it matters: Transparent pricing helps avoid financial surprises. Understanding what's included helps you budget for rentals and décor.
Guest Capacity and Space Details
Make sure the venue can comfortably accommodate your guest list and fits the flow you envision.
Questions to ask:
What is the maximum guest capacity (seated and standing)?
Are there separate areas for ceremony, cocktail hour, and reception?
Which places can we have our ceremony? (inside and outside)
Is there a backup indoor space for bad weather (for outdoor venues)?
Can we rearrange or reconfigure the space?
Is there a dance floor, and how large is it?
Are there on-site dressing rooms or bridal/groom suites?
Why it matters: A venue too small can feel cramped; too large can feel impersonal. Understanding space flexibility ensures a smooth event flow.
Food and Beverage Policies
Catering can be one of the biggest wedding expenses. Ask about food and drink early.
Questions to ask:
Do you have in-house catering or a list of preferred suppliers?
Can we bring in our own caterer?
Do you offer menu tastings?
Are there beverage packages or a corkage fee if we bring our own alcohol?
Is there a cake-cutting fee?
Are there options for dietary restrictions or allergies?
Why it matters: Venues with exclusive catering contracts may limit your choices. Also, alcohol policies can significantly affect your budget.
Vendor Flexibility
You may want to hire your own planner, florist, DJ, or photographer. Find out how much flexibility the venue allows.
Questions to ask:
Do you have a list of required or preferred suppliers?
Can we bring in our own vendors?
Are there any restrictions on music, décor, or photography?
Are there any time restrictions for suppliers or aspects of the day?
When can suppliers access the venue for setup and breakdown?
Why it matters: Flexibility with suppliers can make a big difference in personalising your day - and in your overall costs.
Logistics and Setup
Details like setup timing, staffing, and cleanup can be easy to overlook but are essential for smooth execution.
Questions to ask:
Who is responsible for setting up tables and chairs?
When can setup and breakdown occur?
Is there a venue coordinator on the day of the wedding?
Are staff provided for food service, cleanup, and guest assistance?
Are there any limitations on when suppliers can arrive?
Do you offer décor or lighting packages?
Why it matters: Clear expectations ensure you’re not stuck with unexpected labour or coordination responsibilities on your big day.
Accommodation and Transportation
Especially for destination weddings or venues far from the city centre, logistics matter for guests' convenience.
Questions to ask:
Is there on-site accommodation for us and our guests?
Do you have partnerships with nearby hotels?
Is transportation provided or recommended?
Is there adequate parking?
Is the venue accessible for guests with disabilities?
Why it matters: Thinking ahead about accommodations and transportation makes the experience more enjoyable for your guests.
Décor, Design, and Personalisation
You’ll want a venue that reflects your vision and allows you to bring your ideas to life.
Questions to ask:
Can we decorate the space ourselves?
Are there any restrictions on candles, confetti, sparklers, or hanging décor?
What décor is provided or available for rent?
Can we move existing furniture or décor?
Are there lighting options available (e.g., string lights, chandeliers, uplighting)?
Why it matters: Some venues are strict about aesthetics and safety, so make sure your dream design is allowed.
Music and Entertainment
Whether you’re hiring a live band or a DJ, the venue’s music policies can shape the atmosphere of your event.
Questions to ask:
Are there noise restrictions or curfews?
Is there a sound system, or do we need to rent one?
Is there a designated dance floor or stage?
Are there enough power outlets for a band or DJ setup?
Can we host a live band?
Why it matters: No one wants the music cut off mid-party. Confirming policies ahead of time helps avoid last-minute hiccups.
Weather Plans and Seasonality
If you’re planning an outdoor wedding, you’ll need a solid backup plan.
Questions to ask:
What’s the weather backup plan for ceremonies or receptions?
Are there tents or covered areas available?
Is the venue heated/air-conditioned?
How does the space change with different seasons?
Why it matters: The weather is unpredictable, and a reliable plan ensures your wedding won’t be ruined by rain or heat.
Timeline and Rehearsal
Understanding the timeline helps you plan your wedding day and pre-wedding activities smoothly.
Questions to ask:
How early can we (and suppliers) access the venue on the wedding day?
Is there a time limit or required end time?
Can we host a ceremony rehearsal? Is there an extra cost?
Can we leave décor or items overnight?
Why it matters: A clear timeline helps coordinate every detail, from getting ready in the morning to the last dance.
Insurance and Licenses
Some venues require you or your suppliers to carry liability insurance.
Questions to ask:
Do you require event insurance?
Are you licensed for alcohol service?
Do your suppliers have the necessary permits or licenses?
Why it matters: Having the right paperwork prevents legal issues or cancellations.
Post-Wedding Cleanup and Responsibilities
After the fun is over, someone has to deal with the cleanup.
Questions to ask:
Who is responsible for the cleanup?
Are there fees for leaving items behind?
When do we need to remove personal items or décor?
Is waste disposal included?
Why it matters: Knowing who handles what helps avoid being charged extra fees - or leaving your family to clean up.
Reviews, References, and Photos
It helps to know what others experienced.
Questions to ask:
Can we see a portfolio or gallery of past weddings?
Are there testimonials or reviews from past couples? (Look on their website and Google/Facebook testimonials)
Why it matters: Real-life experiences can reveal what it’s really like to get married at that venue. A good tip is to post on a local Facebook wedding group (you can do this anonymously) and ask for past couple or supplier experiences.

Final Thoughts
Your wedding venue is the backdrop to one of the most memorable days of your life. Taking the time to ask the right questions during your site visits can save you stress, help you stay within budget, and ensure everything goes smoothly.
Bring a notebook, take photos, and don’t be afraid to ask for clarification or request things in writing. The right venue will welcome your questions and want to support your vision.

Bonus Tip: Create a Wedding Venue Comparison Chart
As you tour different venues, it’s easy to forget the details. Create a spreadsheet or checklist with categories such as cost, capacity, location, and included services so you can compare apples to apples.
Happy venue hunting!
Oh, and of course, if you are interested in having me as your wedding celebrant, please get in touch to see if I'm available on your date... I hope I am! Remember, as a celebrant-led ceremony is not legally binding, it means you can have your ceremony anywhere, and it doesn't have to be licensed by the council, like a registrar-led ceremony. I can perform your wedding ceremony in a field, on a beach, on a clifftop or in your garden. If you'd like to make it legal, simply book an appointment at your local registry office before or after your wedding day to sign the legal paperwork and make it official.
Any more questions, please get in touch.
